How to structure client groups so your systems match reality

Groups, trusts, companies, individuals, directors and the relationships between them, modelled properly. No flat list of names.

Most practice software models clients as a flat list of names. Company A. Trust B. Individual C. Each one a separate record, each one billed separately, each one tracked separately.

The problem is that this is not how clients actually exist. A single client relationship is often a group: a holding company, two trading companies, a family trust, and three directors who are individuals. The work crosses between them. The partner who owns the relationship owns all of them. A deadline on one affects the others.

When your system pretends every client is a single entity, you spend your time managing the system instead of managing the work. You cannot see the group as a group. You cannot report on the relationship. You cannot tell which entities belong together. You have a list, not a structure.

The fix is to model clients the way they actually exist. Groups, trusts, companies, individuals and directors, with the relationships between them made explicit. A job on one entity is visible in the context of the group. A deadline on the trust is visible against the directors who are responsible for it.

This changes reporting immediately. You can see the full scope of work for a client group on one screen. You can see the fees across the relationship. You can see the risk. The system starts to reflect the practice instead of forcing the practice to reflect the system.
